Your Guide to Hosting a Mach-E Meetup
Turn your enthusiasm into an unforgettable event for the Mustang Mach-E community. Follow this roadmap for a successful and stress-free meetup.
1. Plan: Finding the Perfect Spot
The foundation of a great meetup is the location! Your goal is to find a spot that's convenient, accommodating, and has the right vibe for a car gathering.
Venue Types:
- Coffee Shops/Restaurants: Ideal for a casual vibe with easy access to food and restrooms.
- Parks: Great for open space and scenery, but may require a permit.
- Shopping Centers: Large lots are perfect, but management permission is a must.
- Ford Dealerships: A natural fit, especially if they have charging available.
- Other: Be creative! We've hosted meetups at charging stations, malls, food halls, and more!
Location Checklist:
- Must have restroom access.
- Easy access to food and drinks. (could be a coffee shop, fast food restaurant, etc.)
- Ample, easy-to-access parking.
- Bonus: Nearby EV charging stations.
- Bonus: Shade and scenic views for photos.
Crucial Step: Get Approval!
You may need to ask for permission from the property manager or owner.
Explain your event's purpose and assure them you'll be respectful. This single step prevents almost every potential issue on event day.
Note: Many businesses are hesitant to allow any car meetups at all. They may be worried about a car club taking over parking spaces for businesses or they may have concerns over safety since some Cars & Coffee have led to street racing at the end of the event.
One way to phrase your event in a way that is acceptable to a business would be to say you want to host a dinner at their restaurant and you expect 12-15 people. They would probably be happy for the business in that case. If you say, we just want to use your parking lot for 12-15 cars, they would likely say no. Of course, the size of your group and the business make a difference. Ten extra cars in a big lot is easier to justify than 10 extra cars in a lot that only has 20 spaces.
Join another event!
One way to make things easier is to join another event. Some perfect examples would be a local Earth Day celebration or a Drive Electric Month event. Oftentimes, the organizer of these events would love to have an additional group of electric cars - but just make sure you check with them to be sure. It also doesn't have to be an EV focused event - it could be a baseball game or some other group activity as an example.
A Drive?
You may want to consider organizing a drive as your meetup. These can be more complicated because you basically have to pick two acceptable locations plus a driving route. The same criteria above would apply to each location. For the route, that can be difficult. First, you want a route that is easy for everyone to do and easy to map out. It is also helpful if there isn't a lot of traffic on the route so your drive group doesn't just get stuck in traffic. And, it really helps if the drive is a bit scenic.
2. Publicize: Spread the Word
A great location is only useful if people know about it. Use these channels to get the word out and build excitement for your event.
- Create a Facebook Event: The most effective tool. Include all details, encourage RSVPs, and post updates.
- Post on FordEVClubs.org: Reach a wider audience of dedicated Ford EV enthusiasts on the official forums. (Submit event info here)

3. Host: The Day of the Event
Your role as host is to create a welcoming and fun atmosphere. A little preparation goes a long way.
- ⏰ Arrive Early: Be there 15-30 minutes before start time to claim a good spot and greet early birds.
- 🤝 Welcome Everyone: Introduce yourself, make new members feel included, and facilitate introductions.
- 🔄 Be Adaptable: Have a backup plan in mind in case of unexpected issues with the location.
- ❤️ Support Local: If meeting at a business, encourage attendees to make a purchase to show appreciation.
- 🛡️ Safety First: Remind everyone to be mindful of other patrons and to park considerately.
4. Share: The Afterglow
Keep the momentum going after the meetup ends. This helps build a stronger community for future events.
- 📸 Post Pictures!: Share photos on Facebook and the forums. It's the best way to share the fun.
- 🙏 Thank Attendees: A simple "thank you" post goes a long way in making people feel appreciated.
- 📝 Gather Feedback: Ask what people enjoyed to make your next event even better.
